Illume Foundation (“we, ”us”, “our”) values individuals’ privacy and actively seeks to preserve the privacy rights of those who share information with us.

1 Information we collect

1.1 Talent Data (Students/Graduates)

We collect no personal information except when you deliberately create your profile on our platform or apply to our programs or by sending us an email.

When creating your online profile or applying to our programs, you are asked to submit:

  • Your full name, so we know what to call you
  • Your email address and phone number, so we know how to reach you
  • Your visa type, so we can determine the visa rules applicable for you to undertake the work placement
  • Your CV/resume and educational background, areas of interest, so we can place you in a suitable placement. 
  • Your personal background on diversity (read our diversity & inclusion policies here) to help us build equitable opportunities

If you are accepted into our programs, we collect additional information from you in order to provide benefits to you during and after the program. We may ask you about any dietary requirements, proof of visa, emergency contact to ensure that we can best accommodate your needs while you are in our program. 

1.2 Why do we collect information?

We collect only such personal information as we need in order to confirm that you are eligible for the placement program in which you have expressed interest, and then to place you in that program and deliver the program to you.

1.3 Who do we share your information with?

When you choose to provide information, we use it to fulfill or respond to your request such as to the host company who will provide you the placement. When this occurs, we will notify you in advance. We also use this information in aggregate to better understand your interests.

If you are currently or recently enrolled in an institution of higher education, such as a university or college, we may share your information such as students’ unique identifier (often a number), first name and surname, email and CV to  that institution in order to ensure that your program is suitably monitored and supported with respect to academic credit, reporting, insurance, institutional policy, and/or any financial aid or discounts which we, or the institution, may agree to apply towards your program.

We do not share your personal information with any other party, for any purpose, unless

  • such sharing is required by law, or
  • you have given your permission to share it

Non-personally identifiable visitor information may be provided to other parties for marketing.

2 Company Data

We collect no personal information except when you deliberately create your profile on our platform, express your interest to host our interns  or by sending us an email.

When submitting an expression of interest you are asked to submit:

  • Your full name, so we know what to call you
  • Your email address and phone number, so we know how to reach you
  • Your company, website and linkedIn where applicable to verify your business and for marketing and promotional purposes. We will get approval from you before engaging in any marketing and promotional activities
  • Project scope and the type of intern you are looking for so we can find a suitable match for the role
  • While we do not collect personal information on diversity, we might collect information on your company policies, D&I policy where applicable (read our diversity & inclusion policies here) to help us build equitable opportunities

If you are accepted as a host company, we collect additional information from you in order to provide benefits to you during and after the program. We may ask you about project scope in detail, supervisor name and contact detail, regular feedback, company policies, insurance (where applicable) to ensure we can best accommodate your needs while you are participating in our program.

2.1 Why do we collect information?

We collect only such company information as we need in order to confirm that you are eligible for hosting an intern for which  you have expressed interest, and then find a suitable intern for your company and deliver the internship program to your company.

2.2  Who do we share your information with?

When you choose to provide information, we use it to fulfill or respond to your request as a host company. 

If you are selected to host an intern from university towards course credit, we may share your contact to that institution in order to ensure that your internship is suitably monitored and supported with respect to academic credit, reporting, insurance, institutional policy and for any relevant activities towards the internship placement. In any of these cases, we shall seek your permission before sharing any information.

We do not share your company information with any other party, for any purpose, unless

  • such sharing is required by law, or
  • you have given your permission to share it

Non-personally identifiable visitor information may be provided to other parties for marketing.

3 Educational Institutes

We collect no personal information except when you deliberately send it to us, for example, by sending us an email or expressing your interest to find internships for your students.

When submitting an expression of  interest you are asked to submit:

  • Your full name, so we know what to call you
  • Your email address and phone number, so we know how to reach you
  • Your educational institute, website and linkedIn where applicable to verify your entity 
  • Faculty, department information to find a suitable internship match for your students
  • While we do not collect personal information on diversity, we might collect information on student diversity background, your D&I policy where applicable (read our diversity & inclusion policies here) to help us build equitable opportunities

If you are accepted as one of the educational partner institutes, we may collect additional information from you in order to provide benefits to you students during and after the program. 

3.1 Why do we collect information?

We collect only such information as we need in order to confirm that your educational institute is a verified higher education provider and are responsible for finding placement opportunities for your students for which  you have expressed interest, and then to find suitable placement opportunities for your students and deliver the placement program to your students.

3.2  Who do we share your information with?

When you choose to provide information, we use it to fulfill or respond to your request as a provider of interns for our host companies

If your students are selected to participate in our programs, especially those towards course credit, we may share your contact to the host company  in order to ensure that the internship is suitably monitored and supported with respect to academic credit, reporting, insurance, institutional policy and for any relevant activities towards the internship placement. In any of these cases, we shall seek your permission before sharing any information.

We do not share your company information with any other party, for any purpose, unless

  • such sharing is required by law, or
  • you have given your permission to share it

Non-personally identifiable visitor information may be provided to other parties for marketing.

4 Personal information received from third party

We work closely with educational institutes to provide internship opportunities to their students. We also work with education agents and related bodies who are termed as ‘third party’. 

The ‘third party’ may provide information about their students in respect of who intends to use our services or enrol in our programs. This information may include the students’ unique identifier (often a number), first name and surname, email and CV. If we receive such information, we expect that the ‘third party’ must inform any such individuals whose personal information you provide to us that you are providing their personal information to us and to advise them about this policy. We accept no responsibility for advising any such individuals of the existence or content of this policy.

5 Technical information we collect

When you access our web pages, certain technical information is automatically collected. We analyse aggregate traffic/access information for resource management and site planning purposes. We reserve the right to use log detail to investigate resource management or security concerns.

Some of our web pages use “cookies.” Usually a cookie enables a website to tailor what you see according to the way you entered the site (for example, if you entered via a certain link, or if you are using a mobile device).

We also use non-identifying and aggregate information to better design our website. For example, we may determine that the average visitor typically views our website for a certain number of minutes, or that a certain percentage of men vs. women applied to our program. But we do not gather or disclose information that could identify those specific individuals.

Our web pages may use Google Analytics or other similar services to analyse web traffic for design purposes. In such cases, the information described above may be shared with the vendor(s) providing the analytical service. We do not control the privacy policies of these vendors.

6 How do we protect your information?

We are dedicated to preventing unauthorised data access, maintaining data accuracy, and ensuring the appropriate use of information. We strive to put in place appropriate safeguards to secure the information we collect from you.

7 How long do we keep your information?

Students/Graduates

As part of the program, participants receive lifetime membership to our Alumni Network. For this reason, we do not delete participant information after a fixed period of time. When someone applies to our program, we retain their application until they request to remove it.

Companies

For companies, we seek to work on long term engagement and provide valuable talents  into the future. For this reason, we do not delete company information after a fixed period of time. 

When companies express their interest (EOI) to host our interns, we retain their EOI until they request to remove it.

Educational Institutes

For educational institutes, we seek to work on long term engagement and provide valuable internship opportunities for your students  into the future. For this reason, we do not delete company information after a fixed period of time. 

When educational institutes  express their interest (EOI) to provide internship opportunities to their students, , we retain their EOI until they request to remove it.
